Exact document lists vary by visa category, but most applications share a common core:

  • Passport, valid well beyond your intended stay.
  • Visa/CoE application form, available from the embassy or immigration bureau.
  • Passport photo, meeting current size and background specifications.
  • Proof of the underlying relationship — an employment contract for work visas, a certificate of admission for the student visa, a marriage certificate for spouse visas.

  • Academic or professional qualifications, for work visas that require a degree or equivalent experience — diplomas, transcripts, and sometimes notarized translations.

A few practical notes that save people real delays: documents not in Japanese or English often need certified translation, and some certificates (birth, marriage, academic) need apostille or embassy legalization depending on the issuing country. Start gathering documents that take time — apostilles, transcripts from overseas institutions, criminal background checks — well before you plan to submit, since these are consistently the longest lead-time items in an otherwise fast-moving process.
